The Executive Assistant provides high-level administrative support, ensuring seamless daily operations and effective time management for the executive. This role requires exceptional organizational skills, discretion, and professionalism in handling confidential information.
Responsibilities
• Manage and maintain the executive’s schedule, including meetings and appointments.
• Prepare reports, presentations, and other confidential documents as assignments.
• Screen and prioritize emails, calls, and other communications, responding on behalf of the executive when necessary.
• Coordinate and organize executive meetings, including agenda preparation, minute-taking, and follow-up actions.
• Handle confidential information with discretion and maintain a high level of professionalism.
• Liaise with internal and external stakeholders, ensuring smooth communication and coordination.
• Conduct research and provide insights or summaries for decision-making.
• Make decisions on behalf of the executive when necessary.
• Manage reimbursement and related documents.
• Facilitate bookings, including flights, hotels, restaurants, and other necessary arrangements.
• Design and optimize working flows.
• Take main responsibility for company events, including Town Hall meetings, seminars, and other corporate events.
• Assist in managing special projects and initiatives as assigned by the executive.
Requirements
• Bachelor’s degree or higher in Business Administration, Office Management, or any related field.
• Minimum 4 years of experience as an Executive Secretary, or similar role supporting management team
• Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other relevant software.
• Exhibit problem-solving skills with a mature attitude.
• Multitasking abilities with keen attention to detail.
• Proactive and solution-oriented mindset.
• Excellent written and verbal communication skills (TH-EN)
• Ability to work independently and adapt to a fast-paced environment.
